Throughout this policy, Trumin is referred to as ‘the company’.


Your privacy is important to us. This Privacy Policy sets out the procedures the company has in place in relation to the collection, use and disclosure of information you may provide or we may collect via our Websites, Registration Service and Mobile Applications. Our intention is to be sensitive to your privacy concerns whilst striving to use any data that we do collect to improve our service to you. If we change our Privacy Policy, those changes will be published on this page so that you are always able to see what information we collect, how we and our partners use it and under what circumstances we disclose it.


Your Consent:

By using any of the Company’s Websites, Applications or Registration Services, you agree with the terms of this Privacy Policy and whenever you submit information via these systems, or otherwise use our Services, you consent to the collection, use and disclosure of that information in accordance with this Privacy Policy.


Active Collection of information :

Some parts of our Websites, Registration Service and Mobile Applications require you to actively submit information in order for you to benefit from specific features. Some of this information may be personal (namely, information that can identify you, such as your name, address or phone number). We only collect such information when you choose to supply it to us. You confirm that you will only enter information about yourself and that such information is true.


Passive Collection of Information:

We may collect and process anonymous information about your use of the Registration Service, such as some of the pages you visit and some of the searches you perform. Such information is used by us to help us improve the content of our sites and and to compile, for internal market research purposes, statistics regarding the individuals using it. This kind of anonymous information can be obtained by our use of "cookies" as well as other means.

Please see our 'Cookies' section below for more information on our use of cookies. Analytics of our system may also be gathered by Event Owners you have agreed to through pixel tracking and GTM deployment within the Registration Service for example. It is important that you understand that the company collects data not only for itself but also as an agent on behalf of others, Event Owners for example. For the sake of clarity therefore, we define data into 3 classes:

  1. Data we collect for our own usage, marketing etc.

  2. Data that we collect as an agent on behalf of our customer, typically event owners and organisers and is held on their behalf, outside of our control and subject to the Event Owners Privacy Policy. Data in this class will only be utilised by the company to maintain your functional usage of our websites and systems, and as may be required to comply with current law.

  3. Data that we collected in the course of transacting class 2 that is held under our control. This may be information that is sensible for collection by the company for an event or an event service but where the forwarding of such data to the Event Owner is not appropriate and will be protected by the company. This may include medical records, payment card and banking details and other forms of sensitive data.

  4. For the sake of clarity and plain English, the policy that you are reading covers how the company will handle Data of classes 1 and 3. Data of class 2 will be governed by the Event Owner’s Privacy Policy that is agreed to in the Registration Service. Should you wish to be directed to the appropriate policy you will be able to find it on their website or you may contact our customer service team to direct you to it.


Cookies:

Our Registration Service uses cookies. A "cookie" is a small piece of information that is stored within your browser and enables us to identify that requests to our Registration Service originate from your computer, and sometimes provide additional information such as your recent activity on our Registration Service.

We use the following cookies on our Registration Service:

  1. Systems cookies: These cookies are created each time you visit our Registration Service and are automatically deleted when you leave our Registration Service and close your web browser. They ensure that the Registration Service and Websites work correctly. They also make sure that we remember the fact you are logged in once you log in, and remember the selections that you make as you use the Registration Service. The Registration Service will not work properly without these cookies.

  2. Identification cookies: These cookies help us remember who you are when you come back and visit our Registration Service and Websites. These cookies are retained for up to two years after you visit our Registration Service.

Use of Information collected:

Your personal information submitted to us is used for operational purposes, for example, producing tickets, processing payments or confirming orders, and to personalise experience by using your previous purchases and browsing activity to make your future experience more relevant.

We may also use your personal information for internal market research and analysis purposes; and to carry out survey related activities with you. If you contact us we may be able to see information about your recent activity on our Website such as your recent searches, recent error messages shown and/or your recent purchases. This enables us to provide you with an efficient service, and reduce the need for you to repeat information to us that you have already input into the Website.

We sometimes also use e-mail addresses, mobile phone numbers and other personally identifiable information supplied voluntarily by you to contact you regarding information that is pertinent to your successful access to the event. For example, we direct e-mails and text messages to event participants who provide us with their e-mail addresses or mobile phone numbers for specific purposes such as receiving check in procedures, event schedules, race results etc.

In the case of Sports events, it may be the case that in results are published into the public domain, either directly by the company or via the 3rd parties (under the terms that you accept with them). The company will not be held responsible.


Sharing of Information:

We may share your personal information with third parties (including third parties outside of the EU) for the purpose of

(a) processing a registration, insurance product or otherwise in relation to fulfilling a booking you have made via the Registration Service;(b) for marketing services (where you have consented to receive such marketing services); (c) for processing payment (including fraud screening);(d) advertising; and (e) for undertaking any other permitted use of your personal information on our behalf.

These service providers will only have access to the personal information needed to perform the relevant service and may not use your personal information for any other purpose. They will also be required to use your personal information strictly in accordance with data protection laws, including maintaining adequate security measures to protect such personal information.

We may also share your personal information (a) with any person who takes over our business to use your personal information on the same basis as we do; (b) with legal or regulatory authorities where we are lawfully requested or required to do so, or voluntarily to the Police and similar law enforcement agencies (including, but not limited to, fraud prevention and detection), other government agencies or third parties.


Use of location data:

Information about your location or approximate location may be used by our Registration Service. We obtain and use this information in two main ways:

  1. Internet traffic information, such as your IP address: This information is provided automatically as you use our Registration Service and can allow us to infer your approximate location – for example your city or county, and country. We use this information: a) for analysis purposes to understand the distribution of our customers; b) to tailor messages shown on our website – for example if we identify that you are likely to be located in a particular country we may default to an appropriate language setting: Many web browsers, particularly on mobile phones and tablet devices, are able to accurately report your location, for example using GPS technology. The same is true for apps on mobile phones and tablets. These browsers and devices normally ask your permission before sharing your location with a website or app, and you can usually disable the feature altogether in the device settings. We use this information for features that need to know your location.

  2. User names and passwords You are responsible for any use of your user name and password, and you must keep them confidential. If you become aware of any unauthorised use of your password, you must immediately change your password by visiting my.trumin.com/login or contacting our customer services department.


Security:

We take the security of your data very seriously. We employ physical, electronic and administrative security measures to protect the information that we collect about you from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage.

You acknowledge and agree that we shall not be responsible for any unauthorised use, distribution, damage or destruction of personal data, except to the extent we are required to accept such responsibility by the data protection laws.


Links to third party Internet Sites:

The Websites, Registration Service and Mobile Applications may contain links to other sites and sources of information. By clicking on these, you will leave the Website or Mobile Application (as appropriate) and this Privacy Policy will not apply to your use of any other sites.

The subsequent Websites and applications that arrive at are not controlled by us. The fact that we provide a link to any such website does not mean that we endorse that website. We cannot be responsible for the privacy practices of any such website, and we would expressly note that you provide personal information to any such website at your own risk.


Children:

Our Websites, Registration Service and Mobile Applications requires children to consult with their parent or guardian before providing any personal information to us.

Please supervise your children’s online activities and consider using any available parental control tools on browsers or otherwise from your internet service provider to assist us to provide a child-friendly online environment.

We will seek to ensure, whenever possible, that personal information about or obtained from a child will not be used for commercial or trade purposes without the prior written consent of a parent or legal guardian of the child. We will endeavour to ensure that material sent to children is appropriate for their age group.


Facebook, Twitter, and other Open ID providers:

You can link to our systems using federated identity such as Facebook & Twitter. These services will authenticate your identity and provide you the option to share certain personal information with us such as your name and email address to link between the sites.

Services like Facebook & Twitter give you the option to post information about your activities on our Systems to your profile page to share with others within your network.


Like Button:

If you use the "Like" button to share something, that item will appear on your Facebook profile page and also on your friends' news feed, depending on your Facebook privacy settings.

You may also receive updates in your Facebook news feed from this site or item in the future. Facebook also collects information such as which pages you have visited on this and other sites that have implemented the "Like" button.


Updating your personal information:

If you wish to update, correct or delete the registered personal information you have provided to us through our Websites, Registration Service and Mobile Applications, including making changes to the choices you have made about our use of your personal information, please visit your profile page on my.trumin.com/login.


Deactivating your Account:

Upon request from you we will deactivate your account and render your personal information unusable as soon as reasonably possible, in accordance with applicable law and the 3rd Party Policies you have accepted.

We do retain personal information from closed accounts to comply with law, prevent fraud, collect any fees owed, resolve disputes, troubleshoot problems, assist with any investigations, enforce our terms and conditions, and take other actions otherwise permitted or required by law.
